PURPOSE OF THE ROLE

To co-ordinate and administer the company’s tender and vendor registration processes whilst maintaining professional, customer-friendly service delivery.

DUTIES INCLUDE

Tender Administration

  • Updated existing tender subscriptions.
  • Identify new tender subscription opportunities.
  • Coordinate tender search and effectively monitor tender bulletins.
  • Acquire tender publications timeously.
  • Log new tenders and continuously update tender register.
  • Initiate tender kick-off meeting, where applicable.
  • Liaise with all role players in compiling the bid.
  • Ensure that ALL tender specifications are met.
  • Process and compile bid document (incl. updated supporting documents) and arrange sign-off as delegated.
  • Timeous delivery / submission of bid document, prior to closing date.
  • Process all tender enquiries.
  • Keep all role players informed of any changes, updated information and tender results.

 Vendor & Supplier Registration

  • Oversee and co-ordinate company Vendor and Supplier Registration against set standards of efficiency & effectiveness.
  • Advise when new B-BBEE, COID and Tax Clearances are required by customers.
  • Ensure that sound customer relations & satisfaction is always maintained:
  • Queries timely & effectively resolved.
  • Implement lessons learned.
  • Strive to meet sales/ business requirements of staff without condoning standards/ accountability.

REQUIREMENTS OF THE ROLE

Qualifications / Experience

  • Matric essential.
  • Business diploma/ degree advantageous.
  • Minimum 2 years’ experience in a similar role working with Tenders/ Supplier registration.

Skills / Knowledge

  • A good understanding of BEE requirements as it pertains to Tender/ Supplier registrations.
  • Knowledge of and experience in completing tender documents.
  • Experienced in MS Office suite.
  • High level of attention-to-detail.
  • Working quickly without compromising quality.
  • Organization Skills.
