THE OPPORTUNITY
The Workshop Manager will be responsible for:
- Co-ordinating and controlling the receipt, storage, configuration (including firmware / software), quality control and shipping of stock, so as to optimise the selling of equipment while at the same time living up to set standards of accountability.
- Keeping and generating such management information as may be required to take informed decisions and to ultimately ensure productivity targets are achieved for all processes to run smoothly and promptly.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Management of Storage & Movement of Stock
- Manage Warehouse in compliance with OPTRON Group’s policies & procedures.
- Liaise with clients, suppliers and transport companies on all warehouse, International & Local shipping and stock requirements.
- Produce reports and statistics regularly as agreed with COO (IN/OUT status report, obsolete stock report, MANCO report, etc).
- Drive feedback and monitoring of stock and service quality.
- Oversee receiving, warehousing, distribution, stock levels and maintenance of operations for all OPTRON Group’s offices.
- Setup layout and ensure efficient space utilization.
- Adhere to all warehousing, handling and shipping legislation requirements.
- Maintain standards of health and safety, hygiene and security.
- Understanding the company’s business & products to meet stock requirements.
- Maintain stock bin / locations in coop with Segment Managers / General Managers as defined [segment separation, demo, RMA’s].
- Effective control over POD’s and customs forms in terms of process and procedure.
- Arrange checking of demo kits.
- Manage movements of stock– in & outbound ensuring reduced costs of holding stock while meeting customer demand.
- Manage invoicing to keep track of products for inventory control, as well as to verify the received quantity, items, and update inventory.
- Facilitate over-the-counter sales in cooperation with sales coordinators.
- Prepare and manage Warehouse annual budget.
Management of Stock Accuracy
- Manage stock control and reconcile with data storage system.
- Plan and oversee stock take on a quarterly basis in cooperation with Segment Managers/ General Managers.
- Perform cycle counts / reporting as scheduled.
- Clarify and report on all stock adjustments and discrepancies.
- Uphold the quality pre-delivery testing/ bonding of equipment.
Customer Relations
- Maintain sound customer relations/satisfaction by ensuring professional service delivery & follow-up on deliveries with external clients.
- Uphold accountable stock / workshop processes & standards with internal clients.
People Management
- Provide direction, guidance and support to the team in line with business and Warehouse objectives.
- Actively promote continuous performance management toward team/department and individual KPAs and performance metrics.
- Ensure adherence to company policies and procedures (in consultation with HR) throughout the Warehouse team.
- Ensure optimal operations and administration within the Warehouse team.
- In consultation with HR, identify and address any skills gaps within the Warehouse team.
- Supervision of the Warehouse team which also involves performance & disciplinary management according to company P&P’s. (In consultation with HR should it be required).
- Alleviating and optimizing admin of Warehouse team.
QUALIFICATIONS, SKILLS AND EXPERIENCE REQUIRED FOR THE ROLE
- Relevant tertiary qualification in Logistics or Supply Chain Management strong recommendation.
- 5+ years’ experience in a managerial capacity.
- 10+ years Warehousing experience.
- Expertise and understanding in warehouse management procedures and best practices.
- Proficient knowledge of inventory and inventory controls.
- Proven ability to implement process improvement initiatives.
- Strong knowledge of Warehousing (KPIs).
- Leadership skills and ability to manage staff.
- Strong decision making and problem-solving skills.
- Excellent communication skills.
- Managerial skills preferably in technical environment.
- IT proficiency/ Experience on Sage 300 (ERP System) and Granite (Warehouse Management System).
- Ability to effectively liaise with customers.
- Thorough knowledge on international logistics – import/export regulations, Pre-Export Verification of Conformity (PVOC), dangerous goods, etc.
- Accountability: Integrity; reliability.
- Able to manage, guide and lead employees.
- Conceptual; coordinating; organising; systematic; accuracy, self-management.
- Physical demands: As required to successfully perform the essential functions of this job.
- Valid unendorsed driver’s license and own transport.
- Availability to travel when required.
